Required hours will range from Monday through Friday, from 7:30 am to
4:30 pm, with one (1) hour for lunch |
POSITION OVERVIEW:
The
Receptionist is expected to have the phones open and operating promptly at 7:30
a.m. throughout the day until 4:30 p.m. Relief switchboard coverage will be
provided for a one-hour lunch, morning and afternoon breaks of 15 minutes each,
as well as coverage for mail pick-up and bank deposits as required.
Bilingual required.
This
position provides general office support with a variety of clerical activities
and related tasks. The receptionist will be responsible for answering incoming
calls, directing calls appropriately, mail distribution, correspondence flow,
filing, supplies maintenance and overall general Corporate office clerical
duties.
ESSENTIAL DUTIES &
RESPONSIBILITIES:

Receptionist
-
Greet guests in a professional, friendly, hospitable manner
-
Answer phones and direct callers
-
Professionally administer all incoming calls
-
Ensure phone calls are redirected accordingly
-
Open and close visitor area (locking doors, closing blinds, turning off
lights, etc.)
-
General
-
Daily mail pick-up, sort and distribute
-
Process out-going mail
-
Off-site storage maintenance
-
Filing
-
Distribute internal and external communications (fax, memos, mail).
-
Photocopying
-
Customer
Service
-
Clerical Support
-
Shipping procedures for Fed Ex, UPS, and other
-
Order office supplies and pick up as needed
-
Daily cash deposits to bank by 2:00 p.m.
-
Compile and complete miscellaneous deposits as needed
-
Provide backup as requested
-
Data Entry as required (HR applications, etc.)
-
Filing
-
Corporate Equipment Administrator
- Maintain schedule
for trade show booths
- Maintain schedule
for LCD projector
- Maintain schedule
for digital camera
- Maintain Corporate
pool vehicles
QUALIFICATIONS/REQUIREMENTS:
-
Ability to listen and communicate with clients/vendors and other employees.

Ability to read, write, and comprehend written instructions and documents.

Be
proficient in basic mathematical functions.

Ability to interact with others in a professional manner.
-
Computer literate, Excel spreadsheet experience, Word processing, Outlook,
10-key adding machine, basic office machines (fax, copier,
telecommunications, postal meter, folder/inserter)

Bilingual (English/Spanish) written and verbal
-
Valid
driver license with clean MVR
ESSENTIAL FUNCTIONS:

Regularly required to stand or sit, reach, bend or move for extended periods
of time.

Ability to do computer entry for extended periods of time.
-
Must
have corrected hearing and vision within normal range.
-
Some
light physical effort required.
